Overview: Batch entry of health events [Video]

Microsoft Edge/Internet Explorer users: Batch entry of health events is not supported on all versions of Internet Explorer and Edge v17 and earlier. Batch entry makes quick work of adding health activities to animal records by creating event templates to apply to several animals at once.

This article provides a video demo and overview of the functionalities associated with the batch entry feature.

Creating and removing health event templates


  • The information about the event that is common to most (or all) of the animals can be added to a template to pre-fill the animals' individual event entries.
  • More than one health event template can be used in a batch entry action.
  • Multiple events for the same health event activity can be added in a batch entry action, with the exception of body condition scores and weight events.
  • The event dates for each template in a single batch entry action do not need to be the same.
  • A template can be removed from the batch entry action at any time prior to saving the batch entry action; the associated forms will be removed from any animal that has already been selected.
  • A template that has been removed after the animal list has been loaded can be re-added anytime prior to saving the batch entry action. When restoring the template, any information previously added to the selected animals' forms will also be restored.

Refining the animal list for event recording


When the animal list is initially loaded after creating the health event templates it displays all animals currently in your herd. If you performed the health activities on a subset of your animals, refining the list means less records to scroll through to find the animals you need to select.

When refining the animal list using filters:
  • The filters that are currently applied are highlighted in green.
  • Only animals meeting the criteria of all of the applied filters will display in the animal list.
  • Updating the filters will reset all individual animal forms to the original template settings; any updates or edits to the individual animal forms will be cleared.

Selecting and finalizing the animals' events for submission

  • Animals to be included in the batch entry submission record entry can be selected manually, or by checking the "select all" function.
  • As animals are selected, a selected animal count will display.
  • Animals that have been selected can be unselected at any time prior to saving the batch entry action.
  • Events will not be added to animals in the list that have not been selected for the batch entry action, nor will any related reminders will be completed. This includes animals that were selected, and then unselected.
  • Any information that is pre-filled by the template into an animal's individual event form can be edited or deleted, and any form fields that are left blank in the template can filled in for an individual animal.
  • Event forms can be removed from any animal that did not receive the activity.
  • A form that has been removed from an animal can be re-added anytime prior to saving the batch entry action. Any information added to the form prior to removing it will be restored.

Managing scheduled reminders for individual animals*

In addition to any scheduled reminder associated directly with health event activity being added, suggestions of activity reminders that may be related to the event being added will also display in the event form for each animal, and can be marked as completed during the batch entry action if appropriate. Reminders to be marked as completed can be selected manually on an animal-by-animal basis, or can be automatically selected by checking the "Mark all reminders as completed" feature.

Any reminder that is left unchecked upon saving the batch entry action will not be recorded as completed. The reminder will continue to display as a "Scheduled event" in the animal's Health and Snapshot pages, and the Dashboard and EasyList as applicable.

When selecting to complete scheduled reminders, follow up reminders will be scheduled based on the the activity and reminder recurrence of the existing reminder series for the specific animal.

Possible duplicate event advisories*


When adding events, the system performs a check for potential similar events for the same date. If a matching event, or a possible similar event is found, a message with the potential matches will display for review and allow you to take the appropriate action (remove form from animal or continue adding the event).

The possible duplicate event advisories display for: vaccinations, medications, vitamin & mineral supplements, parasite control, tests and maintenance activities.

A health event form with a possible duplicate event advisory will display a yellow warning icon for quick and easy identification of items that you may want to review prior to submitting the batch entry action.

Invalid entry validations


Just as in the per-animal health event entry forms, an event cannot be added under some conditions. These are:
  • The health event is dated prior to the animal's date of birth.
  • The health event is dated after to the animal's date of death.
  • A Body Condition Score event is already added for the date.
  • A Weight event is already added for the date.
A health event form with an invalid entry will display a red advisory icon. No action is required for invalid event entries; the event will not be saved when the batch entry action is submitted.

Subscription service plan support


After a special introductory period for all customers through 8/31/2017, batch entry of health events will be available in the Performance plan.


*The display of suggested potentially related reminders or potentially similar events is supported by manually-entered health event activity mappings in the EasyKeeper database. This functionality has been added only as a convenience to the user to help identify reminders for events or existing events that may be related, either directly or indirectly, to the Brand/Type, Test Type, Activity or event category of the health event being added to help prevent duplicate event administration and/or not completing a health event reminder that should be completed. The accuracy of the suggestions mapping to the current event being added is in no way guaranteed; Like all "suggestions" included the EasyKeeper service, it is the sole responsibility of the User to verify that the accuracy of the suggestion and act accordingly, and by saving the batch entry action with any suggested scheduled reminder marked or potential duplicate event included assumes full responsibility for the action.
